Questions To Consider 1. What is the true ceiling height 2. Are there low hanging ceiling fixtures or other objects that affect the ceiling height 3. Are their columns that reduce the usable space in the room 4. Are there movable walls- Are they substantial enough to reduce noise from another room 5. What are the true dimensions and capacities(as opposed to the printed sizes 6. Is the space adequate enough for your attendees to be comfortable? 7. Does the meeting room have windows? 8. Is the meeting room access for persons with disabilities? 9. Check the sound system Is there a sound system installed Is it good quality/ Think about the microphone needed for the size of room Who handles the sound equipment? 10. Where are the light controls- are they easily accessed to make changes during the meeting 11. Which doors cannot be blocked due to fire regulations 12. Ask to the hotel to make sure the doors do not squeak (there is nothing more annoying as people go out to the bathroom or there are late comers!) 13. Do the doors lock automatically 14. Think about where to place screens so that light does not affect the presentation when doors are opened 15. What is the set up you are ordering for the room? How does the venue usually set up the room? Ask why? 16. Does the hotel provide lecterns, blackboards easels, overhead projectors, computer hook ups 17. How much does the room cost?
